Appifire Data Sync: When to Use “Update Everything”

When to use Appifire Update everything vs Update products, categories, stock, or articles: decision rules, loading states, Needs attention badges, and retry.

You will know when to use “Update everything” on Appifire Data Sync versus a single Update products / categories / stock levels / articles button. When you finish, you can pick the right control, read status badges, and retry safely.

Direct answer

Use Update everything when more than one Data Sync section is stale, after a bulk / seasonal / migration change, or when you are not sure which section broke answers. Use a single Update … button when only that Shopify area changed. Update everything refreshes products, categories, stock levels, and articles together. It does not save Knowledge Hub policies/FAQ and does not sync orders.

  • Ability to edit or observe Shopify catalog/content so you know what changed
  • Optional: a short storefront test set after the sync

Step 1: Match the change to a button

Expected result: You do not run a full refresh for a one-line product typo unless other sections are also wrong.

Step 2: When Update everything is the better default

Choose Update everything if any of these are true:

  1. You changed two or more of: products, collections, inventory, blog content.
  2. You finished a bulk edit (CSV, migration, theme-driven catalog rebuild).
  3. Chat answers mix stale product facts with wrong category or stock context.
  4. First install or long idle period: several cards say Never or very old Last updated.
  5. You already tried one card and answers still feel broadly wrong across topics.

Skip Update everything when:

  • Only one product was edited and webhooks may already have caught up (re-test first; then Update products if needed).
  • You only edited Knowledge Hub text.
  • You only need a live order lookup test.

Expected result: Full refresh is intentional, not a nervous habit.

Step 3: Run the sync and read the UI

  1. Open Data Sync.
  2. Click Update everything (or the single-section button you chose).
  3. Wait while the button shows a loading state. Do not spam-click; one run is enough.
  4. When Update everything runs, Appifire refreshes all four sections in sequence: products → categories → stock levels → articles.
  5. On each card, check:
    • Last updated: timestamp or Never
    • Badge: Up to date (completed), Updating, or Needs attention (failed)
  6. Saved item counts on each card should look believable for your store size.

Expected result: Cards move to Up to date with a fresh Last updated time, or you see Needs attention to retry.

Step 4: Retry when you see Needs attention

If a card shows Needs attention (failed status):

  1. Note which section failed (Products, Categories, Stock levels, or Articles).
  2. Click that section’s Update … button again (narrower retry).
  3. If several cards failed, click Update everything once more after a short wait (Shopify rate limits can cause transient errors).
  4. If it keeps failing, capture shop domain, UTC time, which button you used, and any on-screen error, then use the troubleshooting playbook.

A full Update everything that errors mid-run may leave earlier sections updated and later ones not. Check each card’s Last updated before you assume everything finished.

Expected result: You retry the smallest useful scope first, then escalate with evidence.

Step 5: Verify on the storefront

After a successful sync:

  1. Ask one product question with an exact published title.
  2. Ask one availability question if stock changed.
  3. Ask one policy question only if you also saved Knowledge Hub (Data Sync alone will not fix Hub text).
  4. Ask one order question with a real order number (proves the non-sync path still works).

Expected result: Catalog answers match Shopify; order path still uses live lookup.

  • It does not replace Knowledge Hub saves.
  • It does not sync orders.
  • Large catalogs can take longer; keep the tab open until loading ends.
  • Button labels follow the live Data Sync UI; re-check after app updates.
